 Frequent Asked Questions Regarding Travel

UHCL faculty and staff have frequently asked the following questions regarding policy and procedures. The questions are numbered in bold print with responses following in non-bold print. Use the Back page function of your browser to return to the previous page.

Q. Where is the Travel Office located?
A. Bayou building, Room 2127-7

Q.  What is the round trip mileage from UHCL to Hobby & Bush Intercontinental Airport?

A.  29 miles for Hobby           77.4 for Bush Intercontinental

 

Q.  What is the round trip mileage from UHCL to UH Main?

A.  40.6 miles

Q. Will you make arrangements for my personal vacation?
A. No. The Travel Office services are strictly for business purposes.

Q. I found a good price for an airline ticket on the internet. If I purchase it, can I be reimbursed?
A. Yes, if you obtain a same-day quote from Carlson Waggonlit that states they can not meet or beat the fare that you found.

Q. I've returned from my trip. How do I get reimbursed?
A. You have two choices.  Either gather all your receipts for the trip. Put them in an envelope and send to Box 105, or drop the envelope off at the Travel Office.  Or, call the Travel Office to make an appointment if you prefer a one-on-one interview.

Q. What receipts do I need to save?
A. All your receipts are helpful to the Travel Assistants when preparing your voucher. However, the receipts that we MUST have are your airline ticket, hotel bill, rental car and registration receipts. For foreign travel and U.S. possessions you must have receipts for everything.

Q. The hotel I stayed at had express check-out. Is that receipt sufficient?
A. Usually not. The State requires that the hotel balance show $0 owed. If your bill shows a balance due, you will need to obtain another one that has a $0 balance.

Q. If I share lodging with another traveler, can pay the full bill and be reimbursed?
A. No. The state will not reimburse you for another traveler's expenses. You will each need a bill with your name on it showing the amount you paid.

Q. What is a valid registration receipt?
A. A copy of the front and back of your cancelled check or an official receipt from conference that indicates the amount paid and $0 balance due. A copy of your registration form is not sufficient.
